Sam Jam Studios Privacy Policy

Sam Jam Studios Ltd. ("we," "us," or "our"), operates the website samjamstudios.com (the "Website").

1. Information We Collect

We collect minimal personal data directly through the Website, in compliance with DPP1.

  • The only personal data collected directly on the Website is that voluntarily provided by users via the Contact Us form (e.g., name, email address, and message content). This data is collected for the lawful purpose of responding to inquiries and is necessary and not excessive for that purpose. At the point of collection, users are informed of this purpose.

  • There are no other sign-up forms, email collection fields, or data-capture mechanisms on the Website.

  • Patreon Integration — All patronage, subscriptions, payments, and related personal data (e.g., name, email, payment details, pledge amounts) are collected and processed exclusively by Patreon. We act as a data user only in respect of any patron data Patreon shares with us for reward fulfillment. See Patreon's Privacy Policy: https://privacy.patreon.com/.

  • Recorded Online Video Meetings — For patron benefits or interactions (e.g., private/group video calls), meetings may be recorded via third-party platforms (e.g., Zoom). Recordings (including audio, video, shared content, and any appearances) are owned by Sam Jam Studios Ltd. and used only for production, reward fulfillment, or archival purposes.

  • In-Person Events — In the event that Sam Jam Studios Ltd. hosts an in-person event or “Meetup”, the same terms apply. Members on Patreon are occasionally universally given access to a Form which they can voluntarily fill out, including meeting locations, to share where they are located to influence the location of our planned Meetups. Responses are anonymous unless users volunteer their names, and their information is not connected to individual member accounts on Patreon.

  • Crowdcast Livestream Attendance Data — We use Crowdcast (a third-party livestreaming platform) to host public or Patreon-exclusive livestreams. For every video streamed on Crowdcast, we retain access to the attendance list and related analytics provided by Crowdcast to hosts. This includes:

    • Usernames

    • First and last names (where provided)

    • Email addresses

    • Whether the user attended the live stream or watched the replay

    • Duration of live attendance (if any)

    This data is collected and stored by us solely to prove genuine live attendance for specific livestreams on a given date. It serves to verify and authenticate the hostess's live interactions (e.g., resolving disputes, maintaining content integrity, or archival/reference purposes). We do not use this data for marketing, profiling, or unrelated purposes.   • Automatically Collected Data — Limited non-personal data (e.g., IP address, browser type, pages visited) may be collected via server logs for site functionality, security, and aggregate analysis (not linked to identifiable individuals).

2. Ownership of Content and Media

Sam Jam Studios Ltd. owns all media content and footage it produces, including but not limited to:

  • Recordings of livestreams, private video conferences, or other interactions involving the Hostess and/or members.

  • Any member appearances (e.g., video, audio, voice, likeness) in such produced content.

For user-generated or shared content on platforms we use (e.g., Discord server for Patrons):

  • We do not claim ownership of your Discord display names, profile pictures, or user messages.

  • By participating in our community (including Discord, livestreams, or video meetings), you grant us a non-exclusive, royalty-free, worldwide license to use, reproduce, display, and distribute such content (including your name, username, voice, likeness, messages, or appearances) as part of our produced media for internal production, fulfillment of benefits, distribution, archiving, and marketing purposes.

This license is granted with notice via this policy and aligns with fair collection under DPP1.

3. Use of Content for Distribution and Marketing

We reserve the right to produce, distribute, and market content incorporating the elements described above (e.g., clips from meetings, livestreams, or community interactions) to promote our work, fulfill rewards, or grow our community. Any such use complies with the PDPO, including DPP3.

4. Membership and Access Terms

  • Access to our content and services is provided as a benefit of patronage via Patreon and is subject to these terms.

  • No Guarantee of Future Content — Payment for past or current tiers does not guarantee access to any specific future content, rewards, or features. Content availability may change at our discretion.

  • Right to Modify or Terminate Services — We may stop, suspend, modify, or revoke access to any or all services, content, communities (e.g., Discord), or benefits at any time, for any reason, with or without notice. This includes removal of access for violation of community guidelines or at our sole discretion. No refunds are guaranteed beyond Patreon's policies.

5. How We Use, Share, and Protect Personal Data

We handle personal data in line with the local laws.

  • Use: Limited to the purposes disclosed (e.g., responding to Contact Us inquiries, fulfilling Patreon benefits, producing/archiving content).

  • Accuracy & Retention: We take practicable steps to ensure accuracy and retain data only as long as necessary.

  • Security: Reasonable technical and organizational measures protect data we control (though no system is fully secure).

  • Sharing: Limited to Patreon (for membership), service providers (Crowdcast, Discord, Squarespace under contracts ensuring compliance), or as required by law. We do not sell or share for third-party marketing.

  • Openness: This policy provides transparency about our practices.

6. Your Rights 

You have the right to request access to and correction of personal data we control (e.g., Contact Us submissions or recordings featuring you). Requests should be sent to admin@smajamstudios.com . We will respond in accordance with PDPO requirements. For Patreon-held data, contact Patreon directly. If you are in other jurisdictions (e.g., EU under GDPR), additional rights may apply— contact us.

7. Third-Party Services

We link to or use third parties (Patreon, Discord, Zoom, Crowdcast, Squarespace). Their privacy practices (and applicable laws) govern their handling— we recommend to view them directly for more information on your rights.

8. Changes to This Policy

We may update this page at any time at our discretion; Changes will be posted with a new effective date.
